Exhibiting at General Assembly

By exhibiting at the 2014 General Assembly (GA), our exhibitors will be contributing to the learning, enrichment, and networking opportunities that GA attendees look forward to each year. GA offers numerous ways to connect with other Unitarian Universalists (UU) and UU-related organizations. The Exhibit Hall is always a popular focal point; it provides a gathering place, rest stop, marketplace, and food concessions for GA attendees. The GA Exhibit Hall is open to all GA registrants.

For more information on exhibiting at GA, read the 2014 Exhibitor's Prospectus (PDF). Exhibit space cannot be assigned without agreement to the Exhibit Space Terms & Conditions (PDF). The deadline for reserving space was January 31, 2014.

The exhibit hall is SOLD OUT at this time. Contact gaexhibits@uua.org for more information about being placed on a waiting list.

Exhibiting at General Assembly does not equal endorsement by the Unitarian Universalist Association (UUA).

The Unitarian Universalist Association is committed to a diverse marketplace of ideas. Participation in our exhibit hall does not necessarily mean the UUA endorses the position of any given exhibitor.

Security in the Exhibit Hall

Everyone in the GA Exhibit Hall must display either a valid GA registration name badge or an Exhibit Hall Security Pass at all times. An Exhibit Hall Security Pass will be required for admittance to the Hall during set-up and break-down times (one hour before opening and one hour after closing each day).

Security Passes

To arrange Exhibit Hall Security Passes for its booth staff, the exhibitor must provide to the General Assembly Office by June 13 a list of all of the staffers who will be working at the booth. The exhibitor must also designate one person who will be on-site as the person in authority for their booth. A personalized Security Pass will be printed for each staff person. There is no additional cost to the exhibitor for Security Passes arranged by June 13. Security Passes for additional staff determined after June 13 can be purchased on-site for a $20 fee. The designated on-site person in authority is the only person authorized to purchase additional Security Passes. All Exhibit Hall Security Passes must be for specific individuals. Security Passes are not generic and are not transferable.

Greening the GA Exhibit Hall

The Unitarian Universalist Association (UUA) requires vendors to join in a commitment to sustainability by agreeing to comply with the following guidelines required under APEX/ASTM Level 1sustainability standards for meetings and events.

Exhibitors shall:

  1. Designate a person to be responsible for sustainability at your booth.
  2. Communicate UUA’s sustainability goals to the onsite team.
  3. Ensure any materials discarded from your booth are recycled, composted or donated. This includes any daily trash. Every year GA volunteers devote many dirty hours to rescuing divertible materials from exhibitor trash bins, a practice we would rather not do. Please contact the email below prior to GA to confirm if materials you may need to discard can be recycled, composted or donated. Note that polystyrene, foam plastic, plastic bags and shrink wrap are NOT recyclable and strongly discouraged.
  4. Provide giveaways that are not wasteful and do not leave behind any surplus items. Note that left behind giveaways may incur charges to ensure proper disposal outside of landfill.
  5. Turn off all electricity during hall closures, unless perishable goods are at risk of spoiling.
  6. Ensure that 25% of lighting is energy efficient, if used (i.e. LED lights, EnergyStar certified bulbs).
  7. Consolidate shipments with their own travel, or use a SmartWay certified hauler.
  8. Use a water reclamation system in booths if a water element is used.
  9. Have sustainability criteria for purchasing of booth materials. This means purchased materials must demonstrate at least one of the following attributes: reusable, recyclable, recycled content, provides social good/social value, bears a recognizable eco-label.
  10. Not bring excessively packaged materials onsite.
  11. Donate re-useable materials, including safe food items. Please contact the email below to arrange for this in advance to avoid potential charges.
  12. While not required, exhibitors are strongly encouraged to have a documented sustainability policy for their booth or company.

New This Year

Exhibitors may be requested to participate in an interview about their sustainable practices prior to General Assembly. Exhibitors are informed that compliance with these Terms and Conditions may be verified onsite. Participation in verification enables Exhibitors to be eligible for additional, free promotional opportunities at GA, including mention in Plenary slides, on the event website, at our event Green Booth and in the printed program.

For questions related to these sustainability Terms & Conditions or to volunteer to be verified, please contact Aaron Elliott: aaron@meetgreen.com.

All Exhibitors must agree to the Terms and Conditions in order to exhibit at the UUA General Assembly. Any questions, contact Steve Ransom at sransom@uua.org or (617) 948-4209.
